Add properties and units
For landlords, property managers · Last updated
Who this is for
Landlords and property managers adding the homes and buildings they rent out. Any team member can add and edit properties and units. Only the account owner can delete, archive or restore them, and assign an owner.
Before you start
- The full street address, city, state (2 letters, such as FL) and ZIP.
- For a building: each unit's number, bedrooms, bathrooms and monthly rent.
- For a property manager: the owner, if you have already added them on Owners. You can also assign one later.
- Units count toward your plan's limit. Units on archived properties don't count.
Steps
- Open Properties under Rentals in the menu and click Add property.
- Type the Property Name and the address: Street address, optional Apt, suite or unit, City, State and ZIP.
- Pick the Property Type: Single Family, Multi Family, Apartment, Condo, Commercial or Other.
- A landlord clicks Create Property. A property manager clicks Next: Assign owner, picks the Owner and clicks Create Property, or clicks Skip & Create Property.
- If USPS has the address in a different form, eSamaHomes shows "USPS has this address as …". Click Use this to save USPS's form, or Keep mine.
- Open the property with View: - A Single Family home already has one unit, named Main. On Home Details, click Edit Details, set Bedrooms, Bathrooms and Rent / mo ($), and click Save Details. Leave the Unit name as Main for a house. - Any other type starts with no units. On Units, click Add Unit, fill in Unit Number, Bedrooms, Bathrooms and Rent / mo ($), and click Add Unit. Repeat for each unit.
- Optional, for each unit: Maximum occupancy (from your local code), the most people who may live there.
Example
You add two properties:
- The Elm Street house, Single Family. eSamaHomes makes its Main unit. On Home Details you set 3 bedrooms, 2 bathrooms and $2,200.00 rent.
- Oak Court, Multi Family, with four units, 1A, 1B, 2A and 2B, each 2 bedrooms, 1 bathroom and $1,500.00 rent. Its Monthly Rev. shows 4 × $1,500.00 = $6,000.00.
Together they use 1 + 4 = 5 units of your plan.
What happens next
- A unit is Vacant until a lease starts on it; then it is Occupied. You can set a vacant unit to Maintenance by clicking its status.
- A property manager's property with no owner shows a yellow banner: "No owner assigned — payments cannot be recorded until an owner is added." Click Assign an owner →, or use the Owners tab.
- A listing can't be published until the address has been checked with USPS. An address you kept, or one USPS couldn't find, still publishes, with a warning that listing sites may reject it.
If something looks wrong
- "Plan limit reached". Your plan's unit limit is used up. Click View plans → to upgrade, or archive a property you no longer rent.
- "USPS couldn't find this address". Check the street spelling and the house number, then click Edit address, or Keep this address if it is right.
- A new house shows 0 bedrooms and $0 rent. Set them on Home Details with Edit Details.
- "This property can't be deleted because it has …". A property or unit with leases, payments or other records can't be deleted, so its history is kept. The account owner can Archive the property instead, which hides it from your lists, and Restore it later.
- "This property is archived". Restore it before adding anything to it.
