Automation schedule
For landlords, property managers · Last updated
Who this is for
Landlords and property managers deciding when eSamaHomes bills rent and posts reminders. Anyone can see the schedule; only the account owner can save it.
Before you start
- The schedule is on Settings, the Notifications tab, card Automation Schedule. It is one schedule for the whole account.
- The late fee is not set here. Each lease has its own Late Fee and Grace Period (days). See Late fees and late notices.
- There are no settings for which notices go by email and which stay inside eSamaHomes.
Steps
- Open Settings, then the Notifications tab.
- Auto-bill days before due: how many days before a due date the rent invoice is made. The lowest is 1. The default is 5.
- Grace period: the days after a due date before late notices can start. The default is 5.
- Lease renewal reminders: days before a lease ends to post a reminder, separated by commas. The default is `90, 60, 30`.
- Late notice schedule: days after the grace period to post each late notice, separated by commas. The default is `1, 3, 7`. Only the first three are used.
- Click Save. "Automation schedule saved" shows.
Example
Leo Park sets Auto-bill days before due to 7, Grace period to 3, Lease renewal reminders to `60, 30` and Late notice schedule to `2, 5, 10`. For rent due on November 1:
- October 25: the rent invoice is made, and the tenants are told inside eSamaHomes.
- October 29: the tenants get a reminder email that rent is due in 3 days.
- If it is still unpaid: late notice 1 on November 6 (1 + 3 + 2), notice 2 on November 9, notice 3 on November 14.
A lease ending on December 31 gets reminders on November 1 and December 1.
What happens next
- Rent invoices are made every day for each due date inside the window. Each tenant on the lease is told inside eSamaHomes.
- The rent reminder email goes to each tenant on the lease 3 days before the due date while the invoice is unpaid. It is not on this schedule and can't be changed.
- Late notices are posted inside eSamaHomes, for every tenant on the lease and for you. They are not emailed. They stop once the invoice is paid or partly paid. After the third, account owners are told every day while the invoice stays unpaid.
- Lease renewal reminders are posted inside eSamaHomes, for every tenant on the lease, the account owners and, in Property Manager mode, the property's owners. A month-to-month lease has no end date and gets none.
- No late notices are posted while the subscription is locked or canceled, and no lease reminders once it is canceled.
If something looks wrong
- "Auto-bill days must be at least 1". Enter 1 or more.
- "Grace period must be 0 or more". Enter 0 or more.
- "Enter at least one lease reminder day" or "Enter at least one late notice day". Each list needs at least one number.
- The late fee came on a different day from the first notice. The fee follows the lease's Grace Period (days), not this tab's Grace period. The screen's hint says the late fee; it is the notices. Make the two the same.
- Saving fails. Only the account owner can save the schedule.
- A fourth late notice day did nothing. Only the first three are used.
