Money in and out (landlords)

For landlords · Last updated

Who this is for

Landlords, for money that moves in the bank without a tenant payment: bills paid outside eSamaHomes, money you take out for yourself, and your own money you put in. Only the account owner can record or void; other team members see the list. This page is not available to property managers.

Before you start

  • The bill or the bank line: its date, amount, and the property it was for.
  • The date can't be in the future, and can't be on or before a statement you already reconciled on that account, or on or before the account's opening balance.

Steps

  1. Open Money in and out under Money in the menu and click Record.
  2. Pick what it is: - Paid a bill: a mortgage, insurance, tax or other cost of the property. Pick the Category: Mortgage, Insurance, Property tax, HOA, Utilities, Lawn care, Cleaning, Pest control, Repairs or Other. - Took money out: money you moved out of the account for yourself. - Put money in: your own money added to the account.
  3. Set the Date, the Amount and the Account. Security deposit accounts are not offered: deposit money is the tenant's.
  4. Optional: pick the Property and add a Note.
  5. Click Record. eSamaHomes shows "Recorded. It is on the ledger now."

Example

In October, from the operating account, which held $9,000.00 on October 1:

DateWhatKindAmount
Oct 1Paid a bill, Mortgage, the Elm Street houseExpense− $1,850.00
Oct 5Paid a bill, HOA, the Elm Street houseExpense− $320.00
Oct 20Put money in, to cover a new water heaterContribution+ $1,200.00
Oct 25Took money outDraw− $2,000.00

The account ends October at $9,000.00 − $1,850.00 − $320.00 + $1,200.00 − $2,000.00 = $6,030.00 in eSamaHomes, the same as in the bank, so the October reconciliation matches (with no rent in this example). Cash flow shows $2,170.00 of bills for the Elm Street house in October; the draw and the contribution are not in it.

What happens next

  • Bills show on Cash flow for their property and month. A bill with no property shows under "Not tied to a property".
  • Took money out and Put money in change the account's balance, but they are not income or costs, so they are not on Cash flow.
  • A record is never edited. To fix one, click Void on its row, give a Reason and click Void record, then record it again. The void can't be undone; its opposite entry is dated the day you void it, and the voided record stays in the list, marked Voided.
  • Don't record a returned security deposit here as a bill: deposit money is the tenant's. See Security deposits.

If something looks wrong

  • The date is refused. The message under Date says why: the account is reconciled through a later date, its opening balance already includes that day, or the date is in the future. Use a later date, or note it on the next statement.
  • Cash flow looks wrong for a property. Check the Property picked on each bill.
  • The reconciliation shows a difference. A bill in the bank is missing here, or recorded twice. While the balance you typed on Bank Reconciliation differs from eSamaHomes's, the Record it link under it opens this page with that account picked.
