Reconcile your bank account

For landlords, property managers · Last updated

Who this is for

Landlords and property managers, once a month, when the bank statement arrives. Reconciling proves that eSamaHomes's books and your bank agree to the cent. Only the account owner can open this page.

Before you start

  • Your bank statement: its end date and its ending balance.
  • Everything that moved in the bank during the month is recorded in eSamaHomes: rent payments, checks and cash deposited, bills paid, money taken out.
  • To confirm your opening balance, the statement's end date must be on or after your opening balance's cutover date.

Steps

  1. Open Diagnostics, then the Bank Reconciliation tab. A landlord finds Diagnostics under Money in the menu; a property manager finds it right under Dashboard.
  2. Under Submit Bank Statement, pick the Trust Account.
  3. Set the Statement Date to the statement's end date. eSamaHomes shows what its ledger holds for that account at the end of that day.
  4. Type the statement's ending balance in Bank Statement Balance. It must match the ledger within $0.01.
  5. Optional: add Notes, such as "October 2026 statement".
  6. Click Submit Reconciliation. The row appears under History as Reconciled, or as Variance if the two don't match.
  7. If the account has an opening balance that is not confirmed yet, click Confirm opening balance on the reconciled row, then OK. The button shows only on a reconciled row dated on or after the opening balance. See Opening balances and your cutover date.

Example

A landlord's cutover was Oct 13 with $20,567.66. Between Oct 14 and Oct 31:

What happened in the bankRecorded in eSamaHomes asAmount
Two tenants paid rent due Oct 15 by ZelleReceive Payment for each tenant, Payment Method Zelle, deposited to this account+ $4,700.00
A tenant paid rent due Oct 22 online from their bankNothing to do: eSamaHomes records it when the payment succeeds+ $2,200.00
MortgageMoney in and out, Paid a bill, Mortgage− $1,850.00
InsuranceMoney in and out, Paid a bill, Insurance− $1,500.00

eSamaHomes's ledger at the end of Oct 31: $20,567.66 + $4,700.00 + $2,200.00 − $1,850.00 − $1,500.00 = $24,117.66. The October statement ends at $24,117.66, so the row is Reconciled. Then click Confirm opening balance.

What happens next

  • Diagnostics stops showing "has never been reconciled" for that account.
  • For a property manager, once every account holding an owner's opening balance is confirmed, that owner can be paid.
  • Next month, reconcile again with the next statement.

If something looks wrong

  • Variance equal to one payment or bill. Something in the bank is not recorded in eSamaHomes, or is recorded twice. Compare the statement line by line with the ledger. While the balance you typed differs from eSamaHomes's, a landlord sees a Record it link under it, which opens Money in and out with this account picked.
  • "Pick a statement dated on or after it, or this reconciliation cannot confirm it." The statement ends before your opening balance was posted. You can still submit it, but use a later statement to confirm the opening balance.
  • A bank payment still says Processing. It is not in the ledger until it succeeds, and it is dated the day Stripe confirms it succeeded.
  • A check, cash or money order you received isn't counted. It waits in Undeposited funds until you record the deposit. Open Deposits (under Rent & Payments in the menu), tick the payments, click Record deposit and pick the Bank and the Deposit date, the day it reached the bank.
