Several tenants and occupants
For landlords, property managers · Last updated
Who this is for
Landlords and property managers whose lease has more than one adult signing it, or people living in the unit who don't sign, such as children.
Before you start
- Tenants sign the lease. A lease has from 1 to 4 tenants, and exactly one is the Primary.
- Occupants live in the unit but don't sign the lease. Up to 10 per lease, each with a full name and an Under 18 tick.
- Optional: set the unit's Maximum occupancy (from your local code) on the property page. A common guide is 2 people per bedroom. Left blank, there is no limit.
Steps
- On a new lease, add each tenant in the first step with Add another tenant. The first one is the primary. See Create a lease.
- On an existing lease, open it and find the Tenants card. Click + Add tenant, search for the tenant (or click New tenant), and pick them.
- To change the primary, click Make primary on another tenant.
- To take someone off, click Remove and then Remove tenant. Make another tenant primary first if you're removing the primary.
- Under Occupants, click Edit, then + Add occupant, type the Full name, tick Under 18 if it applies, and click Save occupants.
Example
Ana Ruiz and her brother Luis Ruiz sign a lease for 8 Bay Road. Ana is the primary. Ana's two children, Mia and Leo, are occupants with Under 18 ticked. The unit's maximum occupancy is 4, and the lease has 2 tenants plus 2 occupants, so 4 people: no warning.
Luis pays the $1,200.00 rent for March from his own bank account. The payment shows "Paid by Luis". In June Luis moves out, so the landlord clicks Remove on him; Ana stays on as the only tenant.
What happens next
- Any tenant on the lease can pay its invoices from the tenant portal. A charge for damage from a repair is billed to the primary.
- Auto-pay is run by one tenant from their own bank account; the lease shows Runs auto-pay next to them. Only they can turn it off. Another tenant can take it over from their own bank account, and the one who ran it gets an email.
- Every tenant gets the lease's notices, primary first. Only the primary's invoice email has the direct pay link; the others pay through the tenant portal.
- Tenants see each other's names only, never each other's email or phone. Lease-mates on the same unit see each other's maintenance requests.
- A removed tenant loses access to the lease and its invoices that day. Their own payments and receipts stay theirs, and if they ran auto-pay it is turned off. Any money they paid ahead stays with them; refund it or apply it by hand.
- Changing the primary moves future billing to the new primary. Invoices already billed keep their tenant.
- Changing who is on a lease out for signing cancels the signing. See Sign a lease online.
If something looks wrong
- "A lease can have at most 4 tenants." Add anyone else as an occupant.
- "This tenant is already on the lease." They're on it already.
- "Make another tenant primary before removing this one." Click Make primary on someone else first.
- "A lease needs at least one tenant. End the lease instead." You can't remove the last tenant. See Move out and archive.
- "This unit allows 4 people; this lease has 5." Write a reason in Reason for going over the limit and click Save with reason, or remove someone. The reason shows on the lease.
- "Another tenant on this lease runs auto-pay. Only they can turn it off." Ask that tenant, or take it over from your own bank account.
- You can't add or remove anyone. People can be changed only on a draft, active or pending renewal lease.
