Year-end tax reports

For landlords, property managers · Last updated

Who this is for

Landlords who give their tax professional a summary of the year, and anyone who sends 1099 forms at the start of the year. Anyone on your team can open these reports and download their files. The Year-end tax summary is for landlords only. A property manager sends each owner a statement of their year instead: see Send owners their yearly statement.

Every report here is a summary of what was recorded in eSamaHomes, for your tax professional. It is not tax advice. eSamaHomes does not file 1099s or any tax form. Use these totals with your 1099 service or tax professional.

Before you start

  • See what your tax professional gets, made from a made-up rental: the summary as a PDF and as an Excel file, and a vendors CSV from 1099 totals.
  • Money counts in the year it reached your bank, like on Cash flow. A check counts once its deposit is recorded.
  • Bills you paid outside eSamaHomes, such as the mortgage, insurance or property tax, are in the summary only if they are recorded in Money in and out with the right Property.
  • Vendor payments are counted in 1099 totals only once they are marked Settled on Vendor Payments. A payment counts in the year it was marked Settled.
  • eSamaHomes does not keep vendor addresses or anyone's taxpayer ID. Your 1099 service collects them on Form W-9.

Steps

Year-end tax summary (landlords):

  1. Open Reports under Money in the menu and click Open year-end tax summary.
  2. Pick the Year. It starts at last year, the year you file for.
  3. The table has one column per property, Not tied to a property when a bill has no property, and Total. Each row is a line of IRS Schedule E, from 2. Fair rental days to 19. Other, with each kind of other cost (such as HOA) listed by name under it.
  4. Under the table, Mortgage payments (total) shows the whole mortgage paid for each property.
  5. Click Download PDF to print or save it, or Download Excel for a spreadsheet with the same rows. On a phone, the table scrolls sideways inside its box.

1099 totals (landlords and property managers):

  1. Open Reports and click Open 1099 totals, then pick the Year.
  2. Under Vendors (1099-NEC), each vendor has Total paid, then the same money split into Through a card or app network (Cash App, Venmo, Apple Cash) and Everything else.
  3. For a property manager: under Owners (1099-MISC), each owner has Rents received, split into Paid online through Stripe, Paid another way and Refunds and chargebacks, then Management fees, Repairs and Paid out to owner, so your tax professional can pick the figure.
  4. Click Download vendors CSV or Download owners CSV. The file has the name, an empty Taxpayer ID column, the address (an owner's mailing address; empty for a vendor), the email and the amounts. Give it to your 1099 service.

Example

In 2026 the Elm Street house was rented all year. Lena Brooks collected $21,600.00 in rent, refunded $100.00, and recorded the mortgage ($14,400.00), insurance ($1,200.00) and the HOA ($600.00) in Money in and out.

LineElm Street
2. Fair rental days365
3. Rents received$21,500.00
9. Insurance$1,200.00
12. Mortgage interest paid to banks, etc.(blank)
19. Other$600.00
HOA$600.00
Mortgage payments (total)$14,400.00

Line 12 is blank: her lender's Form 1098 shows how much of the $14,400.00 was interest. In 1099 totals, she paid Ruiz Plumbing $1,700.00 by check and $300.00 by Venmo; the row is not marked $2,000.00 or more, because only Everything else counts toward that amount.

What happens next

  • Rents received is all money in from tenants: rent, late fees, other charges and deposit money kept for a charge, less refunds and chargebacks. A security deposit you hold is not in it.
  • Fair rental days are the days in the year, up to today, that at least one unit of the property had a started lease.
  • Lines with nothing recorded in eSamaHomes are blank, not $0.00. Depreciation (line 18) is for your tax professional to add. Not in this report: depreciation, and anything not recorded in eSamaHomes.
  • Each property's figures add up to the same money as its year on Cash flow.
  • In 1099 totals, a row marked with an amount "or more" reached the amount the IRS sets for that year: $2,000.00 for 2026, $600.00 before. For vendors, only Everything else counts.
  • Payments through a card or app network may be reported by that network on a Form 1099-K. Rent paid online through Stripe may be too. Your tax professional decides what goes on each form.
  • Each CSV ends with a blank row and two lines saying eSamaHomes does not file 1099s and that this is not tax advice. Delete them if your 1099 service won't take the file with them.
  • The Year-end tax summary and 1099 totals are worked out each time you open them.

If something looks wrong

  • A bill is under Not tied to a property. It was recorded with no Property. Void it in Money in and out and record it again with the property.
  • A vendor payment is missing. Open Vendor Payments and mark it Settled. A yellow line on 1099 totals says how many payments made that year are not marked Settled.
  • A vendor is missing who was paid for a bill. Bills recorded in Money in and out have no vendor and are not counted in 1099 totals.
  • A payment marked Settled in January is in the wrong year. It counts in the year it was marked Settled. Tell your tax professional.
  • "leases have no end or move-out date". An ended lease has no date to stop line 2 at, so it is left out of it. Contact support.
  • "entries could not be placed. Contact support." Some money could not be placed on a line, so a total may be short. Contact support.
  • There is no Year-end tax summary on Reports. It shows only to a landlord. A property manager uses Yearly owner statement and 1099 totals. See Send owners their yearly statement.
