Bank payments, processing, failed and returned

For landlords, property managers · Last updated

Who this is for

Landlords and property managers whose tenants pay rent online in the tenant portal.

Before you start

  • Stripe is connected and shows Ready on the Deposit account card on Integrations. See Connect Stripe so tenants can pay online.
  • Tenants pay from a bank account only. eSamaHomes takes no card payments for rent.

Steps

  1. The tenant opens Pay Rent in the tenant portal and pays an open invoice from their bank account.
  2. The tenant is told "Payment started" and that banks take up to 4 business days. Their invoice shows "Processing since" the day they paid.
  3. On your side, the rent status shows Processing. The invoice stays Pending on Rent & Payments until the bank confirms.
  4. When the bank confirms, the payment is recorded, it appears on the Payments tab of Rent & Payments, and the invoice is Paid. Every tenant on the lease gets a payment received email.

Example

Maria's October rent of $1,800.00 is due October 15.

  • October 14: Maria pays $1,800.00 from her bank account. The rent status shows Processing. No late fee and no late notice is added while it waits.
  • October 17: the bank confirms. The payment of $1,800.00 is on the Payments tab, and the invoice is Paid with $0.00 left.

If Maria's account had too little money, the payment would fail instead: nothing is recorded, and the invoice is open again with $1,800.00 owed.

What happens next

  • A failed payment is never recorded as money. Maria is emailed and told inside eSamaHomes that it did not go through, with the bank's reason, and that the amount is still owed. You are told inside eSamaHomes that the invoice is open again.
  • A failed payment is listed on Diagnostics as Returned Bank Payment, with the bank's reason, for up to 30 days while the invoice is unpaid. See Diagnostics, what each check means.
  • A returned payment is one the bank takes back after it cleared. It opens a dispute under Disputes, below Rent & Payments in the menu, and you are told inside eSamaHomes. The payment is taken back out of your books when Stripe withdraws the money. The invoice still shows Paid. See Disputes and chargebacks.
  • When a payment is returned for too little money, wrong account details, or a bank that can't take it, the tenant's saved bank account is blocked for good; they must add another one to pay online. A payment that fails before it clears does not block the account.

If something looks wrong

  • Processing for more than a week. Email hello@esamahomes.com with the tenant and the invoice.
  • The tenant can't pay again. While a payment on that invoice is processing, a second one is refused with "A bank payment for this invoice is already processing." Wait for it to clear or fail.
  • The tenant says they paid but nothing shows. They may have closed the page before confirming. Or they typed in their bank account by hand: Stripe sends a small deposit to it, and the tenant must enter its code in the portal to finish the payment.
  • The tenant sees "Online payments aren't available yet". Your Stripe setup on Integrations is not finished or was disconnected. Finish it there. Until then, record their payments yourself; see Record a payment you received.
  • A returned payment is not on Diagnostics. That is how it works today: its invoice stays Paid, so it shows only under Disputes.
