Diagnostics, what each check means
For landlords, property managers · Last updated
Who this is for
Landlords and property managers keeping their books right between reconciliations. Only the account owner can open Diagnostics.
Before you start
- A landlord finds Diagnostics under Money in the menu; a property manager finds it right under Dashboard. It opens on the Diagnostics tab. The other tabs are Bank Reconciliation and System checks.
- It is worked out fresh every time you open it, from your books as they are. Nothing is stored.
Steps
- Open Diagnostics. The top line says "Nothing to fix. Checked just now." or how many things there are to fix.
- Each check shows Nothing to fix or a list of items.
- Open How to fix on a check for why it happens and the steps.
- Click the link on an item, such as Reconcile or Record deposit, to go to the right screen, and fix it there.
- Open Diagnostics again to see the item gone.
Example
A landlord just started and sees Reconciliation Lapse, with the item "Operating has never been reconciled." and a Reconcile link. That is normal for a new account. A statement on Bank Reconciliation that matches clears it. See Reconcile your bank account.
What each check means:
| Check | It means | Fix |
|---|---|---|
| Reconciliation Lapse | An account with entries has no matching statement in the last 60 days, or never had one | Reconcile it with a recent statement |
| Reconciliation Variance | The latest statement entered for an account did not match your books | Find the difference, correct the records, and submit the statement again |
| Unused Tenant Payment | A tenant has money not applied to any invoice: paid ahead, paid too much, or never applied | Apply it on Rent & Payments, Payments tab |
| Escrow Mismatch | One bank holds money that belongs in another account, such as a deposit paid into operating | Move it at your bank, then Move money on Deposits |
| Undeposited Payment | A check, cash or money order has waited more than 3 business days | Record deposit on Deposits |
| Returned Bank Payment | A tenant's bank payment failed or was returned in the last 30 days and the invoice is still unpaid | Contact the tenant: they can pay again from another bank account, or pay you by check |
| Negative Owner Balance (property managers) | An owner's available money is below zero | Ask the owner for a contribution, or fund it from the company |
| Reserve Below Target (property managers) | Money was released from an owner's reserve and it is still under its target | It refills from rent; or ask the owner for a contribution |
What happens next
- An item disappears as soon as its cause is fixed, the next time you open Diagnostics. Submitting a statement on Bank Reconciliation refreshes it by itself.
- The System checks tab holds eSamaHomes's own nightly checks. They look for errors in eSamaHomes itself, not in your records: you don't need to fix them, and eSamaHomes is notified.
If something looks wrong
- An item you fixed is still there. Open Diagnostics again; it is rebuilt each time.
- Reconciliation Lapse after you reconciled. Only a statement that matches counts, and it must be dated within the last 60 days.
- A check you don't understand. Open How to fix on it, or email hello@esamahomes.com with the check's name.
