Cash flow (landlords)
For landlords · Last updated
Who this is for
Landlords who want to see what each property earned and cost, month by month. Every team member can open it. This page is not available to property managers.
Before you start
- Rent and other tenant payments are recorded, applied and, for checks and cash, deposited. See Record a payment you received.
- Bills you paid outside eSamaHomes, such as the mortgage, are recorded in Money in and out with the right Property. See Money in and out.
Steps
- Open Cash flow under Money in the menu, below Accounting. The dashboard's Cash flow card also has a View cash flow button.
- Pick the Year. The table has one row per property, a row for Not tied to a property, and a Total row, with a column for each month and the Year.
- Click a property's name to see its lines: Money in (Rent, Late fees, Other tenant charges, Refunds and chargebacks), Money out (Management fee, each repair, and each bill category), and Net cash flow.
- Click a repair's line to open its maintenance request.
Example
In October, the Elm Street house has:
- Rent of $1,800.00 paid and deposited.
- A security deposit of $1,800.00 paid into the deposit account.
- The mortgage, $1,200.00, recorded in Money in and out as Paid a bill, Mortgage.
- A plumber, $150.00, recorded as Paid a bill, Repairs.
Its October page shows:
| Line | Amount |
|---|---|
| Rent | $1,800.00 |
| Total money in | $1,800.00 |
| Mortgage | $1,200.00 |
| Repairs (paid directly) | $150.00 |
| Total money out | $1,350.00 |
| Net cash flow | $450.00 |
$1,800.00 − $1,350.00 = $450.00, the figure in the Elm Street house's October cell. The deposit is not in it: it is the tenant's money.
What happens next
- Money counts in the month it reached your bank. A check counts on its deposit date.
- The full mortgage payment counts as money out.
- Money a tenant paid ahead counts once it is applied to a month's rent.
- Took money out and Put money in are not income or costs, so they are not here.
- A month that lost money shows in red, such as −$50.00.
- The Property Income Statement on Reports uses the same figures. Its Gross Rent is all money in, not rent alone.
If something looks wrong
- A bill is under Not tied to a property. It was recorded with no Property. Void it in Money in and out and record it again with the property.
- Rent paid by check is missing. It counts once the deposit is recorded on Deposits.
- A refund lowers money in. Refunds and bank chargebacks are shown as Refunds and chargebacks under Money in, not as money out.
- You want to download it. There is no download for cash flow yet.
