Rent status, who has paid
For landlords, property managers · Last updated
Who this is for
Landlords and property managers checking who has paid rent and who to follow up with. Anyone on your team can read the table and add a note.
Before you start
- A landlord finds the Rent status table on the Dashboard. A property manager finds it on Tenants, on the Rent status tab.
- The table lists active leases. A lease that is still a draft isn't on it.
- How late is "late" depends on the lease's grace period, set on the lease.
Steps
- Open the table: Dashboard for a landlord, or Tenants then Rent status for a property manager.
- Each row is a lease: - Tenant: everyone on the lease, with the property and unit under their names. - Next due: the next rent date, with the rent under it. A date in gray marked expected has no bill yet; it is the date the next one is due. - Status: see the table below. - Balance: what is owed now. It counts every unpaid charge on the lease, not rent alone. - Lease ends: the end date, or "Month-to-month". - Note: your own note, such as "Payment plan agreed".
- Read the status:
| Status | What it means |
|---|---|
| Current | Nothing is owed |
| Due in 5 days | The oldest unpaid charge is due in that many days |
| Due today | The oldest unpaid charge is due today |
| Late 3 days · in grace (yellow) | Past due, but still inside the lease's grace period. No late fee yet |
| Late 8 days (red) | Past the grace period |
| 2 periods behind · $2,400 | Two or more rent periods are past due. The amount is the balance |
| Processing | A bank payment is on its way, and nothing else is late |
- Click All, Late or Due this week to narrow the list. Late includes tenants still in grace.
- To add a note, click Add a note on the row, type it and press Enter. Escape cancels. Clear the text and press Enter to remove it.
- Click a row to open the tenant's page.
Example
Lena Brooks rents Unit 2B at Maple Court to Carlos Rivera for $1,200.00, due on the 1st with a 5-day grace period. Today is November 4 and he hasn't paid.
- His row reads Late 3 days · in grace, in yellow, with a balance of $1,200.
- Carlos calls to say he will pay on Friday. Lena clicks Add a note and types "Paying Friday".
- On November 7 the grace period is over, and the row turns red: Late 6 days.
What happens next
- When the tenant pays, the row goes back to Current, or to Due in the days until the next rent.
- A bank payment shows Processing for about four business days, until the bank confirms it. See Bank payments, processing, failed and returned.
- Late fees and late notices follow the same grace period. See Late fees and late notices.
- In a property manager account, owners see the same table in the owner portal, for their own properties. They never see your notes.
If something looks wrong
- "Everyone is current". Nobody owes anything. With Late or Due this week picked, the list says "Nobody is late" or "Nothing is due this week".
- The balance is more than the rent. The balance counts every unpaid charge on the lease, such as a late fee, a deposit or a past month.
- A tenant isn't listed. Their lease isn't active, or it is still a draft.
- No Rent status tab on Tenants. It is only in a property manager account. A landlord finds the table on the Dashboard.
