Reports
For landlords, property managers · Last updated
Who this is for
Landlords and property managers who want a report of their rentals for a period. Anyone on your team can generate and view reports. The Owner Statement is for property managers only, and a landlord doesn't see it. See Owner statements.
Before you start
- Reports is under Money in the menu.
- Every report covers the dates you pick, from From to To. They start at the first of this month and today.
- Reports read what is already in eSamaHomes. Record payments, bills and repairs first if you want them in the report.
The reports, as listed under Available Reports:
| Report | What it shows | What you pick |
|---|---|---|
| Financial Summary | Income collected across invoices and payment applications for the period | Property (optional) |
| Rent Roll | All active leases with tenant, unit, rent amount, and dates | Property (optional) |
| Owner Statement | An owner's balance, credits and debits for the period (property managers only; not shown to a landlord) | Owner |
| Vacancy Report | Currently vacant units and potential revenue lost | Property (optional) |
| Maintenance Report | Open and closed maintenance requests for the period | Property (optional) |
| Trust Account Statement (a landlord sees it as Bank Account Statement) | One bank account's ledger: opening balance, every entry, closing balance | Trust Account (for a landlord, Bank Account) |
| Property Income Statement | Gross rent, management fees, maintenance expenses and net income for one property | Property |
| Write-Off Report | Unpaid charges written off in the period, with what came in since and what is still lost | Property (optional); a property manager can also pick an Owner (optional) |
Steps
- Open Reports under Money in the menu.
- Under Available Reports, click Generate on the report you want.
- Set From and To.
- Pick what the report asks for. A field marked with a red star must be filled in. Leave Property (optional) empty to cover every property.
- Click Generate Report. eSamaHomes says it was generated, and the report is added at the top of Report History, with its period and the day it was generated.
- Click View on it to open it. In the report, Download PDF saves it as a PDF; PDF on the row does the same without opening it.
Example
Lena Brooks rents out 6 units at Maple Court. She wants a list of her leases for her accountant.
- She opens Reports, clicks Generate on Rent Roll and sets From to October 1 and To to October 31.
- She types "Maple" in Property (optional), picks Maple Court and clicks Generate Report.
- She clicks View on the new row under Report History. The report lists her active leases at Maple Court, each with the tenant, unit, rent and dates. She clicks Download PDF and emails the file.
What happens next
- The report stays under Report History. Reports are not updated afterwards: a payment recorded later is in the next report you generate, not in this one.
- For a property manager: an Owner Statement, or a Write-Off Report run for one owner, has a Send Statement (or Send Report) button. It shares the report in that owner's portal and emails them a link, then shows Sent with the date. See Owner statements.
- Reports still cover an archived property's history.
- For your taxes, above Available Reports: Open year-end tax summary (landlords) shows your year by Schedule E line, Open yearly owner statements (property managers) makes each owner's statement of the year to send them, and Open 1099 totals shows the totals for the 1099s you send. See Year-end tax reports.
If something looks wrong
- There is no Owner Statement. It shows only to a property manager. As a landlord, use the Property Income Statement or the Financial Summary instead.
- "Start date must be before end date". Swap From and To.
- "Both dates are required". Fill in From and To.
- A payment is missing. Check its date is inside From and To, and that it was recorded before you generated the report. Generate the report again.
- No Send Statement button. It shows only to a property manager, and only on an owner statement or a Write-Off Report run for one owner.
